In addition to the Vulcan Athletic Club, Vulcan will cover the cost associated with an employee's family membership including a one-time initiation fee ($2,000 maximum) and monthly dues ($140 maximum for employees working 40 hours a week, $100 maximum for employees working 30-39 hours a week, and $70 maximum for employees working 20-29 hours a week) to a health club, or Vulcan will cover the cost of fees paid to a personal trainer (employees using this benefit would be required to provide a copy of the personal trainer's certification card showing that he/she is certified by an accredited institution, subject to the approval of HR).

EMPLOYEE RESPONSIBILITIES

  • If interested in joining a health club or engaging a personal trainer, the employee should provide the Benefits Specialist with detailed information about the club or activity. All memberships are subject to approval by the Human Resources Department.
  • If a club membership or personal trainer is approved, the employee must submit at least three months of receipts (pre-paid or post-paid) and an expense report through Concur. PLEASE NOTE: Vulcan will only reimburse expenses from the previous 12 months or up to a year in advance. If an employee purchases, for example, a three-year membership, only 12 months of the membership will be reimbursed at a time.

OTHER HELPFUL INFORMATION

  • Employees have the option of participating in both the Health Club Membership/Personal Trainer benefit and the Vulcan Athletic Club benefit.
  • If signing up for the Vulcan Athletic Club membership, Membership Agreement should be completed and returned to the Operations Department. Employees are also required to attend an orientation at the facility.
  • Health Club membership/personal trainer reimbursement is a fringe benefit subject to applicable tax laws. The employee will be responsible for paying the taxes associated with this benefit. The Vulcan Athletic Club on the ground floor of 505 Union Station is for the exclusive use of Vulcan employees.

A. No, it is one or the other.

Q. How do I code my expense report?
A. Use the account "Health Club benefit (monthly fees)" for regular dues and "Health Club benefit (one-time initiation)" for initiation fees.

Q. Can an employee charge a club membership or personal trainer fee on his/her corporate credit card?
A. No.

Q. Will Vulcan pay for health club lockers, parking, towel service and classes that are not covered under the membership fee?
A. No, the maximum fee of $140 a month will cover only standard monthly membership or personal trainer fees.

Q. If an employee and his/her spouse want to join separate clubs with combined membership fees of less than $140, will Vulcan pay for both clubs?
A. No, the Health Club Membership benefit allows one club membership or personal trainer (excluding the Vulcan Athletic Club) per employee.

Q. Can an employee sign up for a class such as yoga in place of joining a health club?
A. Yes, in most cases a structured athletic class can substitute for a gym membership. Employees should see the Health Club Membership guideline and Benefits Specialist for details and approval.

Q. If an employee doesn't use up the $140 each month, can he/she use it to pay for other memberships or classes?
A. No, the allowance is only to be used for standard membership fees at one facility per employee.
